Board meeting 9/9/2021 Called to Order 6:35 By Frank
Opening: A quorum being present, the meeting of WVTPA was called to order at 6:25 pm on 09/09/2021 by Vice President Virgil Cool.
Board Members in attendance: Virgil Cool, Karen Veltman, Sandy McDaniel, Loreen Haight and Amy Haslebacher,Shelly White, Frank Prantl, Chrislyn Prantl via phone
Board Members Absent: Katie Ryan

Treasurer report- Ending Balance 2,172.72 ( 11,908.12 checking saving 8,261.35) Some outstanding checks. MM by loreen 2nd by virgil all in favor

Cattle- Loreen no contact with Leonard yet, Frank will get on it right away.

Order of events- Kick off with Draw pot, picked Jackpot/mixed teams ( dollar draw) reverse with draw pot then picked/mixed teams
Rules/Regulations- 90 second stands , Team substitution - issue with Jackpot teams. Substitution person must be of the same rating or less, at board member discretion in attendance, 2 board members and a judge. Adding draw pot back into the rules, under E in dollar draw, added in the money not won from the year prior will be done in a 3 team draw and team with the fastest wins the dollar draw pot.
Points- Points need to say from first reg penning in September - last scheduled show, including year end event. Fees need to be increased in the rules/regs as they have not been updated- they will reflect the current fee schedule. Fee for cattle in rules and regulations will need to be updated, after Leonard is talked to about the cost .
Payouts- Now that we have upped the payouts, we are doing 1 for 10 for Open and 1 for 5 for AM/NOV. If there are 35 or more teams then a fast time will be paid out, each rider on the fast time team will be awarded $10 to each rider. Sandy will make the changes and email them out. Will be approved once they are sent out to the members. MM by Amy and 2nd by Shelley, All in Favor.
Ratings do need to be done by the first show, ideally 2 weeks before the first show.

Rating Committee- Have not had a chance to meet with Virgil and Kevin. The sheets are in from Karen and Frank.
Reader Board- Frank has not had time to look into this. Reader board is hard wired in at the fairgrounds. Frank will make arrangements to get the items back from the fairgrounds, panels and reader board. Sandy did make mention that a case should be ordered to keep this safe, it is about 120. Frank to measure the reader board and Sandy will order a case.
NEW BUSINESS
OHSET ITEMS/Return/Contract/ Reader Board- We will get the items back the OHSET this is the reader board, no contract is needed with OHSET. They will allow us to use it 9/18. We can allow them to use the panels when we get to that point, if there are OHSET Events this year.
Checks- Sandy has not tried to print checks yet, Sandy will talk to Chrislyn about printing checks.
Signers on the account- We can take credit cards, this would cost us some and the extra cost, will look more into this. Will revisit next meeting.
